A successful application in 5 steps

1) Motivation Letter

Nowadays a motivation letter is oftentimes not necessary anymore but sometimes can help to understand the reason for your application, e.g. you are applying for a lateral move. 

2) CV

The CV is the heart of your application documents and should contain all relevant information for the position. The first screening oftentimes doesn`t take more than a few seconds, that is why the CV has to be well structured and clear regarding your last positions, tasks and skills.

3) Interview

A good preparation for the interview can gain you a big advantage. Inform yourself about the current situation and values of the company, about your interview partners (e.g. at linkedIn, Xing etc.) and make sure you have a well-groomed appearance!

4) Follow up

The follow up is the icing on the cake and can sometimes tip the scales when several candidates are being considered for the position.

5) Offer / Rejection

A contract offer is usually the goal of an application, but even a rejection can have a benefit for the future.

How to write a great motivation letter

The Motivation letter should be well-written and tailored to the specific position and company

Highlight your relevant skills and experiences, and demonstrate how they align with the requirements of the job

Show your enthusiasm for the position and the company, and explain why you are a good fit for the role

Proofread the letter for grammar and spelling errors (e.g. https://www.deepl.com/write)

Your CV is the key

Clear, professional layout and format

Titel of your position, duration of employment, place of work

Main tasks and responsibilites which are relevant for the new position(bullet points prefered)

Relevant education, diploma and certifications

Relevant skills, including technical skills and soft skills

Professional achievements, be specific, quantitativ and mention numbers if possible, e.g. in the last 12 month sales increase of 27%

Any relevant volunteer or extracurricular activities

Contact information, including a professional email address and phone number

Tailor your CV to the specific job you are applying for and use relevant keywords which are mentioned in the job description

Own the scene

Make sure to be on time, ideally 5 to 10 min before the appointment

In case it is an online Interview check the lighting, sound and access/invitation link beforehand

Bring yourself in the right state – “Emotion by Motion” – here you can use for example breathing technics (3 seconds inhale, 4 seconds hold, 7 seconds exhale) to calm down or power poses to lift up your energy level (e.g. Superman Stand for 2 minutes)

Prepare your self-presentation – be able to present yourself within 5 to 10 minutes with the most relevant information for that specific position reagarding tasks, positions and achievments

Listen actively and be clear and straight with your answers

Be able to answer the following questions: Who are you? What are your skills/professional interests? What do want resp. What are you professonial goals? These questions are relevant to understand:

your character and if you would fit into the team

your current skill level; how long it takes until you are productiv and if you need support and further trainings

your motivation to do the job and if the position is align with your professional goals

Prepare questions and make some notes: At the end of the most interviews you will be asked if you have any questions. Don`t miss that opportunity and ask some relevant questions. How does the Onboarding look like? What are the current projects? Which are the biggest challenges at the moment for the team/company? How does a usual workday look like? What are the current goals for the team? What is important/necessary to do a good job from your perspective? What are the next steps and what is the timeline?

Always show interest

Feedback Email on the next day to express your interest and refer to a specific topic (project, road mayp of the company, values etc.) which was discussed in the interview.

In case you didn`t receive a feedback after two weeks feel free to get in touch to double-check. Sometimes it is circumstances such as illness, holidays, internal re-adjustment, postponement of other candidates’ appointments etc. that can lead to a delay.

The end is also important

In case you didn`t get an offer it is advisable to write a thank-you email. Your paths might cross again in the future, be it with the recruiter or the manager, then it’s good to be remembered in a positive way.

When you receive an offer, make sure you understand the whole compensation package (weekly working hours, possibility of working from home, employer’s share in the pension fund, holiday days, overtime regulations etc.). This will allow you to make a better comparison with your current job or possible other offers.
